1. Overview & Data Controller Status
Rezaak takes resident data privacy with the highest degree of seriousness. Your estate management committee or housing cooperative acts as the Data Controller, and Rezaak Systems acts as the Data Processor.
2. Information We Collect
We process the following categories of data solely to facilitate residential estate operations:
- Resident & Household Profiles: Name, mobile phone number, email, unit number, occupancy status.
- Visitor & Gate Logs: Guest names, vehicle license plates, arrival/departure timestamps, and host resident approvals.
- Financial Ledger Data: Invoices, payment transaction IDs, mobile money payment references, and payment receipts.
- Maintenance Records: Work order photos, descriptions, technician assignments, and sign-offs.
3. Data Isolation & Multi-Tenant Security
Society access depends on assigned memberships and permissions. Landlord portfolios use accepted ownership links, and rental records use accepted lease relationships and the recipients recorded on financial documents. Platform administrators can access records across these workspaces.
4. Visitor Log Retention
Ask your society administrator about the visitor-log retention and deletion process used for your deployment. Retention periods and deletion arrangements must be established by the operator; this page does not activate automatic archiving or purging.
5. Security & Encryption Standards
Secure transport, backup protection and retention depend on the hosting configuration. The deployment operator must document these settings and verify them before production use. Contact the operator for the controls applied to your deployment.
6. Your Rights & Data Export
Residents and estate owners have the right to request a full export of their ledger statement and household records at any time. Inquiries should be sent to privacy@rezaak.com.
